OUR MOVE-IN COORDINATOR POSITION
The primary focus for the Move- In Coordinator is to support the sales counselors with all aspects of sales and marketing of promoting our residential apartments. In addition to this the individual will assist the administrative and technical procedures of the move in process for new residents. This position is supervised by the Executive Director of our Ring House facility and will work closely with the sales department.

LOCATION
This position is based on the Charles E Smith Life Communities Campus, located at 1801 E Jefferson St Rockville, MD.

SHIFTS & STATUS
This is a Full-Time, Monday- Friday, Exempt Position.

MAIN RESPONSIBILITIES

  • Ensures models are company-ready daily.
  • Communicates with the management team and front desk all scheduled tours each day and for the weekend.
  • Communicates with new residents and others to adhere to schedule so that move-in can be accomplished as quickly as possible.
  • Maintains and manages move-in schedule and checklist for each new resident that includes contract signing date, pre-move in meeting, final cleaning, and walk-thru, and turnover schedules.
  • Ensures all necessary paperwork is collected, completed, and distributed to appropriate team members for new residents.
  • Identifies and follows up on any delays or other problems with the master schedule.
  • Is present at all scheduled closings/deposits for introduction, to answer questions, and to make clear the hand-off of future resident to you.
  • Meets with new residents to review pre-move in checklist and to orient them to our services and programs.
  • Manages move-in paperwork.
  • Assists new residents with questions and concerns regarding their apartment.
  • Attends weekly meetings to provide appropriate input on move-in process.
  • Coordinates community orientation for new residents to provide information about the staff to new residents.
  • Introduces new resident to immediate neighbors and arranges for a current resident to accompany the new resident to their first dinner at the new residence.
  • Brings lunch to new resident (and their family members) on move-in day.
  • Supports the sales counselors with CRM data entry.
  • Updates weekly reports
  • Keeps all open inventory and projected move-ins up to date.
  • Conducts lease signings with new residents.
  • Conducts tours when sales counselor is unavailable.
  • Maintains office supplies, marketing collaterals, and promotional items.
  • Ensures new resident's room is move in ready and welcoming for our new resident.
  • Actively contribute in all meetings to assist in process improvement and in the improvement of customer services and experiences.
  • The Move-in Coordinator has the authority, responsibility, and accountability necessary to carry out assigned duties.

EDUCATION & EXPERIENCE

  • Must possess, as a minimum, a bachelor’s degree in marketing, public relations or related human service field or equivalent experience
  • 1-2 years of sales experience promoting services and providing community outreach for a long-term care provider, senior housing entity or related health care organization
  • Documented history of meeting sales and census goals
  • Fluency in MS Office products: MS Word, MS excel, MS PowerPoint, MS Outlook.
  • Exceptional demonstrated written and oral communication skills in the English language.
  • Temperament suitable to working in what can be a fast-paced, deadline-oriented environment.
  • Exceptional recognition of ethical and legal requirements of confidentiality in handling of sensitive information and situations.

VACCINATION POLICY
As a dedicated provider to Senior Living Care our facility requires all hired associates to provide proof of vaccination records, including two doses of MMR, two doses of Varicella, and a Negative TB screen before the start of employment. Another source of documentation that can be accepted is a Titer or Lab test that expresses proven immunity to the following diseases. Upon employment our Talent Acquisition team will provide additional details regarding the CESLC vaccination policy.
